This privacy policy explains how RegenRoots collects, uses, stores and shares personal information when you use this website, submit a consultation booking, place a merch order, contact RegenRoots or interact with the site's analytics and cookies.

For this website, consultation service and merch ordering flow, RegenRoots is the responsible party for the personal information it controls through the site.

2. Information we collect

  • Booking details such as consultation type, selected date and time, location, submitted questions and booking reference.
  • Merch order details such as product selections, colours, sizes, quantities, delivery method, delivery address, notes and order reference.
  • Payment-related status information required to confirm whether a booking or merch order was paid successfully.
  • Calendar and meeting data needed to create Google Calendar events and Google Meet links.
  • Website usage information collected through Google Analytics only if you consent to analytics cookies.

3. How we use personal information

  • To create, manage and confirm consultation bookings.
  • To create, manage, confirm and fulfil merch orders.
  • To process and reconcile payments and respond to payment disputes or fraud checks.
  • To send booking confirmations, merch order confirmations, delivery follow-ups, calendar invitations, meeting links and support responses.
  • To improve site performance and understand site traffic through analytics, where you have consented.
  • To keep records needed for accounting, dispute handling, security and legal compliance.

4. Lawful grounds and POPIA position

RegenRoots processes booking and merch order information because it is necessary to conclude and perform the arrangement you request. RegenRoots may also process information where required for legitimate operational, security, record-keeping or legal purposes. Analytics cookies and similar technologies are used only where you actively consent through the cookie banner.

5. Sharing with service providers

  • PayFast or the payment service used to process payments.
  • Google services used for calendar scheduling, invitations and Google Meet links.
  • Hosting, email or technical service providers acting on RegenRoots' instructions.
  • Google Analytics, but only where you have accepted analytics cookies.

RegenRoots does not sell your personal information.

6. International transfers

Some service providers, including Google and payment or hosting partners, may process information on infrastructure outside South Africa. By using the booking or merch ordering flows, you understand that cross-border processing may occur where necessary to deliver the service.

7. Retention

RegenRoots retains information for as long as reasonably necessary to manage bookings and merch orders, support customers, maintain tax and accounting records, address fraud or disputes, and comply with legal obligations. In practice, order, booking and payment records may be retained for up to five years or longer where law or an active dispute requires it.

8. Cookies and analytics

This website uses essential browser storage for functions such as cart state and cookie-consent preferences. Google Analytics loads only if you choose to allow analytics cookies through the site's consent banner.
